Reports gives you a live read on everything Carrot touches: sales, customers, online ordering, marketing, and rewards. Every number is backed by the actual customers behind it, so you can go from a chart to a remarketing list in a couple of clicks.
This article covers where to find Reports, how the filters work, what each report shows, how to drill into the customers behind a number, and how to export.
Where to find Reports
Reports is the first item in the left navigation of the Carrot Staff App. Across the top of the page you'll see five reports: Overview, Customers, Ecommerce, Marketing, and Rewards, plus an Export Data button.
On a narrow window or a phone, the five report names collapse into a dropdown at the top of the page instead.
Customers, Ecommerce, Marketing, and Rewards each have their own set of pages in a menu on the left side of the report.
Note: Reports is available to staff accounts with report access. If you don't see Reports in your navigation, an account owner can grant it in your staff role settings.
The controls at the top of each report
Every report starts with Location and Timezone. Reports that look at a window of time add Date range and Granularity. On the Overview those two sit under the Custom range tab, because the Today tab always shows the current day.
Location: All locations adds up every store. Pick one store to see just that store's activity. A few things are space-wide and ignore the location filter: blasts, Carrot signups, missions, and referrals. When that's the case, the chart says so in its description.
Timezone: every transaction is converted to your store's local day before it's counted, so a late-night sale lands on the right date.
Date range: quick presets like Last 90 days or a custom range. The current day, week, or month is still filling in, so the last point on any time chart is partial.
Granularity: Day, Week, or Month for the time charts. Sales, order, and marketing tiles follow the date range you set. Tier mixes, adoption funnels, and points liability are current snapshots and don't change with it.
In-store and online are never added together. Online and kiosk orders ring through your POS, so "All POS" already includes them. Charts show in-store and online side by side. If you add the two series yourself you'll double count.
Overview
The Overview has two tabs. Today is the live view of the current day, and Custom range is the summary for any window you choose. Each section previews one report; open that report for the full picture.
Today tab
Today shows the day so far, through the most recent data, next to a typical figure for comparison: the average of the last 12 of the same weekday, measured up to the same time of day. Every tile shows how today is running vs typical, and the hourly charts carry a dashed typical line that continues 12 hours ahead, so you can see where the day is likely to land.
All POS: sales, transactions, and average ticket, with transactions and revenue by hour over the last 24 hours.
Online orders: online sales, orders placed, average order, and cancelled orders, a by-order-method table (orders, typical, vs typical, sales, in progress, en route), and hourly orders and revenue by method.
Marketing: marketing revenue, blast recipients reached, blast conversions, automations triggered, automation conversions, and referrals accepted, all for today's sends.
Customers: new customers and Carrot signups today, plus active customers by 90-day engagement level.
Rewards: redemptions and points redeemed today, with redemptions by hour.
Custom range tab
Custom range adds the Date range and Granularity controls and opens with a Summary by period table: one row per day, week, or month with POS sales, transactions, average ticket, new customers, online sales and orders, average order, delivery orders, and more. Below the table:
All POS: sales, transactions, and average ticket, with all POS vs online over time.
Online orders: online sales, orders, average order, cancelled orders, mobile app share of orders, and new app users, with orders by method over time.
Marketing: opted-in contacts, blasts sent, recipients reached, and blast-attributed revenue (POS spend within 24 hours of a blast).
Customers: active customers, Carrot users, new customers, Carrot signups, Carrot-user sales and Carrot-user share of sales (how much of your register revenue comes from customers with a Carrot account), and new vs returning customers by period.
Rewards: points earned, points redeemed, and redemptions, with redemptions over time split in-store vs online.
The sales, orders, and redemptions charts carry the same dashed typical line as the Today tab. Pick an end date in the future (for example, this week) and the line continues past today as the expected run rate.
Customers
The Customers report has five pages in its left menu: Customers, Acquisition, Engagement, Churn, and Segment explorer.
Customers page
This page has three tabs.
Overview: total customers, active customers (at least one in-store purchase in the last 90 days), Carrot users, active Carrot users, and active Carrot users by primary device (web, iOS, Android). Below that you'll see the engagement chart, new customers by month, and at-risk regulars.
Customer list: everyone who has shopped with you, in-store, online, or by redeeming a reward, with phone, email, SMS / Push / Email opt-in, tier, level, at-risk flag, last visit, member since, total spend, POS orders, online orders, and available points. Filter by Engagement tier, At-risk status, Membership, and Opted in to, then download the table. This is the list to use when you're building a remarketing audience.
Customer detail: pick a customer from the search box (or click a customer in any list) to see their profile, lifetime in-store and online spend, order counts, points, a 12-month transaction timeline, their most recent transactions, top products by value and by units, favorite brands, and how their in-store spend changed in the weeks around their Carrot signup.
Engagement levels and at-risk flags
Every customer gets an engagement level based on how many in-store purchases they made in the last 90 days. Regulars are flagged At risk when they've gone quiet past their level's usual cadence.
Level | Who's in it | Flagged at risk after |
Core | 13 or more purchases in the last 90 days (shops about weekly) | 30 days without a purchase |
Loyal | 3 to 12 purchases in the last 90 days (shops about monthly or more) | 45 days without a purchase |
Occasional | 2 purchases in the last 90 days | 60 days without a purchase |
Low frequency | Returning customer with 1 purchase in the last 90 days | Never flagged |
New | First-ever purchase, made within the last 90 days | Never flagged |
Lost | No in-store purchase in the last 90 days | Never flagged |

Acquisition page
How fast you're bringing in new customers and how they first find you.
New customers: first transactions, first ecomm orders, Carrot signups, and new app users in the window, with new in-store customers over time and new Carrot signups by store.
First purchase source: every customer classified by whichever channel came first: in-store, kiosk, or online.
Turning first-timers into regulars: of the customers whose first visit landed in the window, the share who made 2 or more in-store visits (Activated) or 5 or more (Regular) within 90 days of that first visit. You can see it by acquisition cohort, Carrot members vs non-members, and online-first vs in-store-first. Cohorts that haven't finished their 90 days yet are shaded.
Promotions that bring in new customers: promotions ranked by an acquisition score (new customers × new-customer share), so a big promo that mostly reaches existing customers doesn't crowd out a smaller one that actually acquires.
Engagement page
Active this month: all customers, Carrot members, and non-members, plus active customers and new vs returning over time.
Customers by current engagement level, with monthly revenue by level (a 90-day average) and lifetime revenue by level.
Carrot signup and engagement: average in-store spend per customer in the 90 days before and after they joined Carrot.
Carrot adoption funnel: how in-store-first customers progress through Carrot (joined, got the app, stayed web-only, never joined) and who is still shopping vs churned at each step.
90-day retention by Carrot depth: the share of non-members, web-only members, and app users who are still purchasing.
The adoption funnel, still shopping vs churned, and the 90-day retention tiles
Churn page
Churn compares two back-to-back 90-day periods. Ninety days is the shortest window that reliably captures a full buying cycle for most of a dispensary's regulars.
Metrics: engaged in the prior 90 days, retained, churned, and churn rate.
At risk: regulars past their usual cadence, with the count and monthly revenue at risk by level, and the at-risk rate for Carrot members vs non-members.
Lost: customers who were engaged last quarter and have been silent since, with the count and monthly revenue lost by prior level, and churn rate for members vs non-members.
Customer list: toggle between At risk and Lost. The list is sorted by lifetime spend (biggest customers first) and includes the SMS opt-in column, so it's ready to export as a winback audience. The Lost list is bounded by the last-visit window, so reach the window back to see older churn.
The Churn page with the current and prior periods and the retained vs churned metrics
Segment explorer page
The Segment explorer is the one place to build an ad-hoc customer list from any combination of cuts, then export it. Pick any of these:
Tier
Cadence status
90-over-90 outcome (churned or retained)
Prior level for lost customers
Carrot depth and Funnel status from the adoption funnel
Cohort
The tiles update to show how many customers match, their lifetime revenue, their monthly revenue (90-day average), and how many are SMS-reachable, and the table lists them with their contact and opt-in columns. Click Export customer list to download it.
The list is empty until you choose at least one cut. Reset a control to All or Any to widen it.
Ecommerce
The Ecommerce report has an overview page plus Orders, Delivery, Abandoned Carts, Promotions, and Top Products.
Orders page
Online orders, online sales, average order value, and unique customers, with:
Sales and orders over time
Orders by fulfilment method (kiosk, pickup, delivery)
Orders by platform (web, iOS, Android)
In-store vs online sales
Delivery page
Where delivery orders go and when they come in, for planning zones, coverage, and driver scheduling. You'll see delivery orders, delivery sales, average order value, and unique drop-off spots, with:
A drop-off heat map
Orders and sales by zone
Every drop-off ZIP code in the window (heavy ZIPs just outside a zone boundary are expansion candidates)
Orders by day and hour placed
Same-day vs next-day demand over time
Abandoned carts page
Total value at risk, the share that belongs to known customers, and the share that's retargetable (the customer is known and opted in to at least one marketing channel).
Cart value by age shows how old the carts are; carts older than 30 days are dropped as stale.
The retargetable cart list shows each customer's contact info, opt-ins, cart value, items, and age, highest value first, with an Export cart list button.
Cart value is estimated from each item's current list price.
The Abandoned carts page with value at risk, known, and retargetable tiles
Promotions page
How your in-store-menu promotions are performing in online orders: promotions with activity, orders touched, promo item sales, discount given, and promo units sold.
All promotions table: per-promotion orders, revenue, discount, units, new and unique customers, and average promo basket vs baseline basket.
Promotion detail tab: a single promotion on its own.
A line counts toward a promotion when the deal on it belongs to that promotion; configured start and end dates aren't used for filtering. Items paid with points are excluded because their price is stored in points.
Top products page
Top products: the top 10 products per category by units sold or revenue, with in-store and online as separate columns.
Top brands: the top 5 brands per category.
New products: items first seen within a window, along with stock and units sold.
Marketing
The Marketing report has an overview page plus Automations, Blasts, Promo codes, and Referrals. Marketing numbers are space-wide, not tied to a single location.
Blasts page
Every blast you've sent with its channels, recipients, conversions, conversion rate, in-store revenue within 24 hours, cost, and return on spend.
The overview tiles roll this up: sent blasts, deliverability, total conversions, unique customers converted, total revenue, total cost, and return on spend.
Use the Test sends toggle to hide or include your test messages.
The Blast detail tab shows one blast's reach, conversions, and revenue.
The Blasts overview with deliverability, conversions, revenue, cost, and return on spend
Automations page
Times triggered, unique customers targeted, conversions, conversion rate, revenue, and active automations.
Also on the page: sends, conversions, and revenue over time, an Automations list, and an Automation detail tab.
Promo codes page
Codes used, redemptions, unique customers, revenue, and discount given for coded online orders.
Also on the page: your top code, redemptions over time, an All codes table, and a Code detail tab. Referral codes live on the Referrals page.
Referrals page
Referred customers, active referrers, points awarded to referrers, and the lifetime spend of referred customers.
Also on the page: new referrals per week, top referrers, and the full referrals list. A referred customer is counted once, when they accept.
Audience reachability (on the overview page)
Your Carrot member count and their marketing opt-in status (opted in, opted out, or no preference recorded), with a drill-down to the members behind the numbers.
Attributed revenue for blasts and automations is POS spend within 24 hours of the send by a customer who was reached. Opt-in is a single marketing preference today: a member counts as reachable on a channel when they're opted in and you have that channel on file (a phone number, an email address, or the Carrot app installed).
Rewards
The Rewards report has an overview page plus Balances, Levels, Missions, Points, and Redemptions.
Overview page
Members per loyalty level (all members vs active in-store), redemptions over time, mission completions, members by outstanding points balance, and points earned vs redeemed.
Does the program drive spend? compares the average lifetime spend of members who have redeemed against members who never have. That comparison is a correlation, not proof of cause.
The Rewards overview comparing lifetime spend of redeemers vs members who never redeemed
Balances page
The points liability on the books right now: available points, points held by customers active in the last 12 months, points held by dormant customers, and customers with a balance.
Also on the page: points earned and redeemed in the window, and a top balances table with an Export balance list button.
Levels page
How members are distributed across your loyalty levels, monthly member spend by level for the last 12 months, and whether higher levels retain better (each level's members split into engaged, at risk, and lost).
Missions page
Active missions, completions, average completion rate, and points awarded.
Also on the page: the top missions by completions, completions and participating customers over time, an All missions table, and a Mission detail tab.
Points page
Liability, points earned and redeemed in the window with the redemption rate, and earned vs redeemed over time.
Manual adjustments (one-off points adjustments and recurring historical grants) are shown separately and not counted as earned. You'll also see how long members take from signup to their first redemption.
Redemptions page
Redemptions, points redeemed, customers redeeming, average points per redemption, and average redemptions per customer vs the prior period.
Also on the page: the most-redeemed rewards, redemptions per week split in-store vs online, and every redemption from the last 7 days.
Drilling into the customers behind a number
Most charts that count customers have a Drill into link underneath them, for example Drill into a level, Drill into the winback audience, or Drill into the funnel. Click it to open the list for that chart:
Summary shows each segment and how it's defined.
Customer breakdown lists the customers behind each bar with their contact and opt-in columns.
Export summary downloads the table.
These in-context lists use their own fixed definitions (shown in the Summary table), so their counts can differ slightly from the windowed counts on the chart above them. To combine cuts from different charts into one list, use the Segment explorer page under Customers.
Exporting and downloading
A single table: click the download icon in the table's bottom-right corner. Tables also have an expand icon for a full-screen view and a search box.
A whole report page, including its charts: click the ⋯ menu in the top-right of the page for Download PDF, Download Image, or Download Data. Charts don't have their own download button; hovering a chart shows the values for that point.
Full data exports: click Export Data in the top-right of Reports and choose Export Store Overview or Export Customers.
Note: customer lists and exports include phone numbers, email addresses, and marketing opt-in status. Treat downloaded files as customer data and only share them with staff who need them.
How the numbers work / FAQ
What does "vs typical" mean on the Today tab?
Typical is the average of the last 12 of the same weekday (the last 12 Thursdays, for example), measured up to the same time of day, so a Thursday morning is compared with other Thursday mornings. The dashed typical line on the hourly charts runs 12 hours ahead of now to show the expected shape of the rest of the day.
Why don't in-store and online add up to total sales?
Online and kiosk orders push to your POS, so they're already inside your register totals. Reports show the two side by side and never sum them.
Why is a customer missing from the customer list?
The list is event-driven. A customer appears if they have at least one POS transaction, completed online order, or redemption at the selected location(s). Carrot accounts with zero activity aren't listed. If you've filtered to one location, only that location's activity counts.
Why does a customer have no name or contact info?
POS-only customers show a name and contact when your POS synced a customer record; customers known only from a receipt stay as an unidentified POS customer. Guest online shoppers are identified by the phone number they entered at checkout and have no loyalty tier, points, or opt-in status.
What's the difference between engagement level and loyalty level?
Engagement level (Core, Loyal, Occasional, Low frequency, New, Lost) is how often a customer shopped in-store over the trailing 90 days. Loyalty level is the level in your rewards program, based on lifetime points. A customer has both.
What does "Carrot user" mean on the Overview?
A customer with a Carrot account. Carrot-user share of sales is the portion of your register revenue that comes from those customers.
Why doesn't the location filter change my blast or signup numbers?
Blasts, Carrot signups, missions, and referrals are space-wide. They aren't tied to one store, so the location filter doesn't apply to them.
Why is the last bar on a chart so low?
The current day, week, or month isn't finished yet. Some charts leave the current period out until it completes; others show it as partial.
Why does a promotion show activity outside its scheduled dates?
Promotion reporting counts an order line toward a promotion when the deal on that line belongs to the promotion. The start and end dates you configured aren't used to filter the data.
